Guides

What a school in Spain needs to know, answered with the rule alongside.

Each guide starts with the short answer, explains what the rules say with a link to the official source (BOE, the Tax Agency, the Spanish data protection authority, the Catalan Department of Education) and ends with what Auladia does, and what it does not do yet.

They are not legal or tax advice. We review them when the rules change, and each guide says when it was last reviewed.

  1. SEPA direct debit at school: mandates, pre-notification and returns

To collect fees by direct debit, a school needs a mandate signed by each account holder, must tell the family the amount and date before the debit (14 calendar days, unless another period has been agreed) and sends the bank one file with all the month’s collections: the batch, or remesa.

  2. VERI*FACTU for schools and academies in Spain: who and when

VERI*FACTU is the set of requirements for the software a Spanish business or professional uses to issue invoices: each invoice goes into a chained record that cannot be altered, carries a QR code and, in the VERI*FACTU mode, is sent to the Tax Agency.

  3. GDPR and under-14s at school in Spain: consent and photos

Below the age of 14, when processing a pupil’s data relies on consent, parents or legal guardians give it; from 14, the pupil can give it themselves. That is article 7 of Spain’s data protection law, the LOPDGDD.

  4. Separated parents at school in Spain: information, consent, bills

Separation, divorce or sole custody do not remove parental authority. As long as both parents hold it, both are entitled to the same information from the school about their child, whether or not the child lives with them.

  5. Taking the register offline: attendance in the classroom

Taking the register has to work even when the classroom has no network: the register is stored encrypted on the device, the screen says plainly whether it is saved, sending or done, and it is sent on its own when the connection comes back.

  6. Choosing school management software: a checklist for Spain

Before looking at screens, ask for the data processing agreement, where the data will be hosted and how you leave when you want to: these are the hardest things to change later.

  7. Migrating from Clickedu, Alexia or spreadsheets: a guide

A change of school management software is decided in spring and done in summer, never mid-year: you export the lists (pupils, families, classes, mandates and fees), clean them before importing, and review them with the school office before confirming.

  8. Assessment records and academic history in Catalonia: Decree 175/2022

In primary and lower secondary (ESO), the official assessment documents are the end-of-year record, the pupil file and the academic history, plus the end-of-primary report, the guidance report in Years 2 and 4 of ESO and, if a pupil leaves mid-year, the transfer report. The head approves all of them and the school secretary keeps them.
